AI agent for Dubai real estate: a fast first reply, a clean follow-up

An AI agent for a Dubai brokerage or developer should do three things well: reply straight away to every WhatsApp enquiry, whether it started on a portal, an ad or your website, ask the questions your agents would ask, and make sure nobody is forgotten afterwards. Ours works on WhatsApp in English or Arabic, qualifies buy or rent, budget range, timing and area, books a viewing or hands the lead to the right agent, and logs every enquiry with its source in your CRM.

At a glance

  1. Enquiry arrives Portal, WhatsApp, ad or website form
  2. First reply On WhatsApp straight away, English or Arabic
  3. Qualified Buy or rent, budget range, timing, area
  4. Viewing or agent A booked slot, or a named agent with the history
  5. Follow-up planned Next step with a date, opt-in respected
  6. In your CRM One record per person, with its source

Where property enquiries get lost

A Dubai brokerage gets enquiries from portals, WhatsApp, website forms, Google Ads and social media, including from buyers and tenants abroad and outside office hours. The risk sits less in the listing than in the hours and days after the enquiry.

  • The first reply comes late. The enquiry arrives on Friday evening, the agent sees it on Monday, and by then the person may already be talking to other agencies about the same unit.
  • The lead lives on one phone. The chat sits in an agent's personal WhatsApp; when the agent leaves, the history goes too.
  • Nobody follows up. The first call happened, the person said "send me options", and then nothing was scheduled.
  • The source is unknown. If nobody records where an enquiry came from, budget is split by gut feeling, not by enquiries and viewings.

What our AI agent for Dubai real estate does on WhatsApp

The agent is our AI Enquiry Desk, set up for real estate: on the official WhatsApp Business Platform with your company's number, openly an AI assistant, working only from content you approve, such as listings, projects, areas and viewing rules.

  • Replies straight away, also at night and at the weekend, in English or Arabic, depending on how the person writes.
  • Qualifies like a good agent would: buy or rent, ready or off-plan, area or community, property type and size, move-in or purchase timing, cash or mortgage, and a budget range in the person's own words. We never suggest budget figures; the agent asks, it does not anchor.
  • Books a viewing or hands over. Where your calendar can be connected, it offers viewing slots for the responsible agent. Otherwise, or whenever the person asks for a human, the chat goes to a named agent with a short summary and the full history.
  • Stays inside the facts. It does not confirm availability, final prices, payment plans, handover dates or service charges on its own. Anything that commits your company goes to a person.

Real estate lead follow-up on WhatsApp, without relying on memory

Much of the value lies in the second and third message. Follow-up has to be planned in the system, not in someone's head, and respect WhatsApp's rules: on the platform, you can reply freely within 24 hours of the person's last message; after that, only message templates approved by Meta. Under Meta's WhatsApp Business Messaging Policy, a business may only message people who gave it their number and opted in to hear from it, and opt-outs must be respected.

  • Portal and form leads who have not written to you on WhatsApp get a first WhatsApp message only through an approved template and with their opt-in, for example a checkbox on your form. Otherwise they go straight onto an agent's call list.
  • Every lead gets an owner and a next step with a date. A lead without one shows up again in a daily list instead of disappearing.
  • A short morning summary lists the enquiries still waiting for a first call, so weekend leads are picked up first thing.
  • After a viewing, it sends a follow-up your agent has approved, such as asking for feedback.
  • Leads are assigned by rules you set, for example by area, language, rent or sale, or in turn.
  • A stop request ends promotional messages immediately and is recorded.

Real estate CRM automation: every enquiry, one record, its source

We connect the AI agent to the CRM you already use, if it has an interface for other software, or help you choose one. The aim is one record per person, not one per message.

  • Portals: Property Finder documents an Enterprise API for CRM connections, and Bayut says Profolio users can request a Leads API. What your account includes depends on your plan, so we check it first. Where no interface is available, lead notification emails can usually be read automatically.
  • WhatsApp and ads: chats started from a click-to-WhatsApp ad carry the ad reference where WhatsApp passes it on. Website forms carry the landing page and campaign parameters.
  • Duplicates: enquiries are matched by phone number or email, so the same person enquiring on two portals and on WhatsApp becomes one contact with three touchpoints, not three leads, and obvious test entries are flagged instead of counted.
  • Reports: enquiries, first-reply time, viewings and hand-overs per source, agent and project; deals too, if your CRM records them.

Real estate marketing in Dubai: ads and landing pages measured in viewings

If you want more enquiries rather than better handling of the ones you have, we run Google Ads with a separate English or Arabic landing page per project or area, and count an enquiry only once your server has stored it. Calls and WhatsApp taps are measured separately, and every enquiry joins the same CRM and follow-up. Details on our Google Ads management page.

We report in enquiries and viewings, not clicks. We do not sell leads: enquiries come from your own ads, portals and channels, and the data belongs to your company.

The rules: Trakheesi permits, opt-in and data protection

Property advertising in Dubai is regulated by the Real Estate Regulatory Agency (RERA) of the Dubai Land Department (DLD). The DLD's Real Estate Ad Permit service runs through the Trakheesi system and lists, among others, electronic ads, SMS ads, classified ads, promotional campaigns and project launch events; for most permit types, brokers have to provide a marketing contract with the property owner. The Madmoun service in Trakheesi generates a unique QR code for each ad permit, and the DLD states that real estate companies are required to display it on all real estate advertisements, whether visual or written. The DLD also says it uses an AI platform to monitor listings on Property Finder, Dubizzle and Bayut. In April 2022, RERA fined a brokerage office and suspended nine brokers over cold calling and direct telemarketing, and reminded real estate companies to use official marketing channels after obtaining a permit from RERA.

For our work this means: no ad or landing page for a specific property or project goes live without your permit number and QR code, and the AI agent only shares listings that already carry a valid permit, using the details from your approved listing. A promotional WhatsApp message about a property may itself count as an advertisement, so we treat it as one and include the listing's permit details.

Cabinet Resolution No. 56 of 2024, which regulates marketing by phone, has applied since 27 August 2024 to companies licensed in the UAE, including those in free zones. It covers marketing to consumers, meaning natural persons, by phone calls, including text messages and messages through social media applications. Among other things, it requires prior approval from the competent authority and bars marketing to numbers on the Do Not Call Register. Federal Decree-Law No. 45 of 2021 on personal data protection makes consent the rule, with listed exceptions, and gives people the right to object to direct marketing.

This is our reading of public sources, not legal advice. Check promotional campaigns with RERA, your licensing authority or a UAE lawyer before launch.

What this is based on

Schroer Digital is founder-led, built and operated with our German sister company Schröer Digital UG. The UG runs this setup in production for its own business in Germany: a WhatsApp assistant on the official Cloud API that gives each message exactly one owner, enquiries from several websites in one CRM with their source, a morning reminder of leads still waiting for a call, and a default follow-up date once a lead is called. We do not have clients in the UAE yet and no real estate case study to show. What we build for a Dubai brokerage uses the same method, adapted to portals, permits and buyers who write in English or Arabic. More workflows: AI automation in Dubai.

How it works

Step by step

01

Map your lead flow

Where enquiries come from, how fast they get a first reply and where they get stuck. We agree questions and hand-over rules with your sales lead.

02

Set up WhatsApp and Meta

Business portfolio, verification and WhatsApp Business Account on your company's number, owned by you. Follow-up templates go to Meta for approval.

03

Connect sources and CRM

Portals where your plan allows it, website forms, click-to-WhatsApp ads and your calendar, all into one CRM with source and owner.

04

Load your content

Listings with valid permits, project facts, areas, viewing rules and office hours, in English and Arabic. An Arabic speaker on your side reviews the content.

05

Test with your agents

Your team tries the hard cases: a tenant who wants a price cut, an investor asking about returns, a question in Arabic, a request for a human, a stop request.

06

Go live and review

We review first-reply time, qualified leads and viewings per source weekly at first and adjust.

Limits

What we don't do

  • No bought, rented or scraped leads and no lead lists.
  • No cold calls and no cold WhatsApp messages to people who did not opt in.
  • No ad or landing page for a specific property or project without your Trakheesi permit.
  • The agent never invents listings, prices, availability, payment plans or returns, and never claims to be human.
  • No investment, mortgage, visa or legal advice through the agent.
  • No AI phone or voice agent; the AI works in WhatsApp chat, calls stay with your agents.
  • No guaranteed number of leads, viewings or rankings, and no live demo on this website.

FAQ

Questions, answered briefly

What does an AI agent for Dubai real estate actually do?

It replies to new WhatsApp enquiries straight away, qualifies them, books a viewing or hands over to the right agent, and records everything with its source in your CRM.

Can it follow up portal leads from Property Finder or Bayut?

Yes, once the leads reach your CRM. Property Finder documents an Enterprise API for CRM connections and Bayut offers a Leads API to Profolio users on request; we check what your plan includes. Lead notification emails are the fallback. A first WhatsApp message to someone who enquired through a portal form needs an approved template and their opt-in; otherwise the lead goes to an agent's call list.

Does it replace our agents?

No. It takes the first reply, the qualification and the reminders. Viewings, negotiation, prices and anything that commits your company stay with your licensed agents.

Do we need a Trakheesi permit for this?

The DLD's permit service covers advertisements. Under the DLD's rules, ads and landing pages for a specific property or project need a permit, and its QR code has to be shown on the ad. Promotional WhatsApp messages about a property may count as ads too. Whether a particular message needs a permit is a question for RERA.

Can we send WhatsApp promotions to our database?

Only to people who opted in, with a working way to stop messages. Cabinet Resolution No. 56 of 2024 also covers marketing messages to consumers through social media apps and requires prior approval, so we check campaigns with you before anything is sent.

Does it work in Arabic?

Yes. We do not offer native-speaker Arabic proofreading, so someone on your side reviews the Arabic content before launch.

Do you have real estate clients in the UAE?

Not yet. The setup runs in production in Germany at our sister company Schröer Digital UG, and we build the same way for brokerages and developers in Dubai.
