AI Operations Sprint · Automation
AI automation agency in Dubai: less admin, decisions stay with you
As an AI automation agency for businesses in Dubai and the UAE, we take repetitive admin off your desk without taking decisions out of your hands. We start with an AI Operations Sprint: choose two or three workflows, measure them, build the automation and hand it over, with a person approving anything that commits your business.
At a glance
- Input arrives Forms, emails, messages, exports
- Into one CRM With its source, nothing imported twice
- AI drafts Quote, reply, report or document from your own data
- A person approves Prices, deadlines, payments, anything with legal weight
- Follow-up set Open cases come back instead of disappearing
What an AI automation agency in Dubai should deliver
Many offers in this field start with tools: chatbots, agents, dashboards. The more useful question is different: which hours of admin work disappear, how much faster does a customer get an answer, and how many enquiries stop getting lost? That is how we judge an automation, in enquiries handled and time freed, not in features shipped.
Schroer Digital is founder-led, built and operated with our German sister company Schröer Digital UG. The examples on this page come from workflows the UG runs in production, for its own business and for German clients. We do not have clients in the UAE yet, so every example below is labelled as an example and none of them is a UAE case study.
Workflows that are good candidates
Good candidates repeat often, follow rules most of the time and already arrive in digital form. These are the areas where we build, each with an example from the UG's own operations.
- Enquiries from every channel into one CRM. Website forms, callback requests, quote funnels and messages land in one list with their source, nothing is imported twice and obvious tests are flagged. Example: the UG pulls enquiries from several of its own websites into one CRM every two minutes, and a reminder email listing enquiries still waiting for a call arrives every morning at 08:00.
- AI drafts for quotes, with human approval. The AI reads the enquiry, picks the matching items from your own price list and writes a draft. A person checks, corrects and sends. Example: the UG drafts its own quotes with AI support, based on its own price list and quote templates.
- Message routing. Each incoming message is assigned to exactly one topic queue, so it has one owner and does not get answered twice. Example: the UG runs a WhatsApp Cloud API assistant whose dispatcher sorts each message by the message it replies to, a name it addresses, the recent conversation or keywords, and leaves it for a person to assign when the signal is unclear. More on this on our WhatsApp AI chatbot page.
- Reports. A daily or weekly summary of the numbers you check anyway, sent where you read it. Example: a morning report of open online orders delivered by WhatsApp, and a monthly accounting export from a German client's till system, emailed to their tax adviser.
- Documents. Structured documents assembled from data you already have. Example: property reports for a German client, generated as PDF from the case data; the expert can download the draft as a Word file, edit it and upload it again.
- Follow-up. Every contacted lead gets a follow-up date, and leads without one show up again instead of disappearing. Example: in the UG's CRM, marking a lead as called sets a follow-up three days later by default.
A quick test for each workflow
Before anything is built, every candidate goes through the same six questions. A workflow that fails two or more of them is usually better fixed with a clearer process or a simple form than with AI.
- Does it happen at least several times a week? Rare tasks rarely repay the effort.
- Are the inputs digital (forms, emails, messages, exports) rather than paper or phone calls nobody writes down?
- Is most of it rule-based, with judgement needed only in some cases that can be sent to a person?
- What does a mistake cost? If one wrong output can lose a customer or money, it needs an approval step.
- Is there one person who owns the workflow today and can say what correct looks like?
- Can you measure it now, for example time per case, response time or enquiries without an answer?
A person stays in the approval step
We split every workflow into steps that may run on their own and steps that need a yes from a person. Sorting, tagging, drafting, internal reminders and reports run automatically. Anything that commits your business, such as prices, deadlines, payments, contracts, deletions or a message with legal weight, waits for approval.
Rules are checked by code before something is sent, not left to the AI's judgement. Example: the UG's WhatsApp assistant refuses to send a message without a stated purpose, blocks free text outside WhatsApp's 24-hour customer service window and checks tone rules on every message it sends.
An "AI agent" in our work means a model that can take several steps with tools you allow, such as reading the CRM or preparing a draft. We give agents narrow permissions and bounded tasks. We do not build agents that move money, or that send customers prices, commitments or anything with legal weight without approval.
Data protection in the UAE: what we check first
Federal Decree-Law No. 45 of 2021 on the Protection of Personal Data (PDPL) makes the data subject's consent the starting point for processing, with exceptions listed in Article 4. Article 18 gives individuals the right to object to decisions based on automated processing, including profiling, where those decisions have legal consequences or seriously affect them; the law lists exceptions, for example where the automated processing was agreed in a contract with the individual. Our design rule follows from that: AI prepares, a person decides.
Under Article 2, the PDPL does not apply to companies in free zones that have their own data protection legislation, such as the DIFC and ADGM, and it excludes health and banking data that are governed by their own legislation. Which rules apply to your company is a question for your legal adviser; this page is not legal advice. We design the workflow to fit the answer.
In practice we check three things before building: which personal data a workflow touches, which AI provider would receive it and under what terms, and who inside your company can see the results. We send the AI only the fields it needs.
What should not be automated
Some work looks repetitive but should stay with people. Automating it saves little time and creates risk.
- Final decisions about people: hiring, credit, rejecting a customer or a claim.
- Clinical, legal or financial advice to your customers.
- Complaints and escalations, beyond routing them quickly to the right person.
- Cold outreach by phone or messaging. Marketing calls to consumers, including text messages and messages through social media applications, are regulated in the UAE (Cabinet Decision No. 56 of 2024), so we automate follow-up only for people who contacted you about that matter.
- Processes that change every month. Write the process down first; automate it once it has settled.
What you need before a sprint
A sprint goes faster when these are ready. None of them requires an IT department.
- One decision-maker who can approve the chosen workflows and the approval rules.
- Admin access, or someone who can grant it, to the tools involved: CRM, email, forms, WhatsApp Business account, accounting export.
- Ten to twenty real past cases per workflow, for example old enquiries or quotes, with personal data removed where possible.
- Your own source material: price list, service descriptions, document templates.
- A rough current baseline: how long a case takes today and how many arrive per week.
How it works
Step by step
Select
We go through your admin work together, run the six-question test and pick two or three workflows with the clearest return. Scope, deliverables and timeline are agreed in writing before work starts.
Measure
We record the baseline for each chosen workflow: cases per week, minutes per case, response time, enquiries left without an answer. Without a baseline, nobody can tell later whether the automation helped.
Build
We connect your tools, write the AI prompts against your real cases, set the approval steps and test with past data before live data. You see drafts and outputs at every step and decide what goes live.
Hand over
You get the running workflows, a short written guide for the people using them, and a list of what to watch. We compare against the baseline after real use and adjust what did not work.
Limits
What we don't do
- We do not implement ERP systems or replace your accounting software; we connect to the tools you already use.
- We do not build autonomous agents that send prices, make payments or sign anything without a person approving it.
- We do not use unofficial WhatsApp tools that put your number at risk; we work with the official WhatsApp Cloud API.
- We do not build cold outreach or bulk messaging to people who have not contacted you.
- We do not promise a fixed number of hours saved; we measure before and after and report what changed.
- We do not offer a live demo chat on this site.
- We do not give legal advice on PDPL or sector rules; we design to the answer your legal adviser gives.
FAQ
Questions, answered briefly
What is an AI Operations Sprint?
A fixed-scope project in which we pick two or three admin workflows, measure them, automate them with human approval where needed, and hand them over with a written guide.
Which workflow should we automate first?
The one that happens often, arrives in digital form, follows rules most of the time and has a clear owner. Enquiry intake into a CRM is often a good start because lost enquiries cost revenue directly.
Will AI send messages or quotes to our customers on its own?
Not anything that commits your business. The AI drafts quotes and replies; a person approves prices, deadlines, payments and anything with legal weight before it reaches a customer.
Do we need new software?
Usually not. We connect the tools you already use, such as forms, email, WhatsApp Business and your CRM. If you have no CRM, we discuss a simple one before building anything.
Is AI automation allowed under the UAE PDPL?
The PDPL (Federal Decree-Law No. 45 of 2021) does not ban AI. It regulates how personal data is processed and gives people the right to object to certain automated decisions (Article 18). We keep decisions with a person and send the AI only the data it needs; your legal adviser confirms which rules apply to you.
Have you done this for companies in the UAE?
Not yet. The examples on this page come from workflows that our German sister company Schröer Digital UG runs in production, for its own business and for German clients.
How do we start?
Send us the two or three tasks that cost you the most time each week via the contact page or WhatsApp. We reply with which ones pass the six-question test.
